Adding / Deactivating Resources 

 

Adding and disabling resources is only to be done once an on-boarding / off-boarding resource has been received from the People & Culture team as this is the formal notification that all paperwork has been signed and confirmed by HR. The schedule should not contain any “placeholder” resources as this will skew the forecasts and becomes messy to maintain. 

 

Adding New Resources 

All information entered must be as per the Resource Notification email: 

In the Resources tab, make the following updates: 

  • Staff column - Scroll to the bottom of the list and add the name over the first “zzz” 
  • Capability column - enter the Practice 
  • State column - enter the State 
  • Active column – If the resource starts in the first six months of the year, change this to Active however if they start in the second half, leave this as Inactive 
  • Enter a rate of $165.00 in the column for the month they are starting
  • If this is a contractor you will need to enter their sell rate

 

Next you need to update each of the monthly tabs per the below:

 

For any months prior to the resource start date, change the Active column for the resource to say Inactive and re-filter the data to show only active resources. 

 

On the tab for the month the resource commences, change any squares up to their start date to say N/A with No Fill. 

 

For the resources first day, enter the letter I and shade the cells red. Insert a comment that says Induction. All remaining days for that month will automatically show as U’s meaning that the time is unallocated. 

  • Re-filter the data to show only Active resources  

 

For each remaining months tab, ensure the resource is showing as Active 

 

Deactivating Resources 

 

Go to the tab for the month the resource is leaving and on their first non-working day, change the square to say N/A with No Fill. Copy and paste this for any remaining days for that month. 

 

For the remaining months of the year, ensure that all of the time has been changed to “U” then update the Active column for the resource to say Inactive and re-filter the data to show only active resources. Repeat this for the remaining months of the year.
